General
Template names
The names of all types of templates must be unique. The name must always describe the content or purpose.
❌ "Letter new"
❌ "Layout 1"
✔ "Short letter"
✔ "Layout Correspondence"
The following rules must be observed:
Letters, numbers and spaces are allowed, special characters are also possible.
All layout template names start with "Layout". Example: "Layout Correspondence"
All names of style templates start with "Style". Example: "Style Correspondence", or "Style" if only one style template exists.
NOTE
Template names are limited to 128 characters.
Templates have an id as a unique identifier. So the name of templates can be easily changed at a later time, even if other templates are based on the template.
Template groups
The templates can be distributed into any groups. Exceptions are the group "Layout", where all layout templates are located, and the group "Style", where all themes and style templates are located. The groups "E-Mail", "Layout", "Style" as well as "-- NOTES --" should always be at the bottom. These are not visible to the user anyway (except the E-Mail group if there is an E-Mail template in it).
Previews
Previews should all be created with the same profile. For this purpose, the following profile is preconfigured in the default database that is imported for each customer at the beginning of the project:
There is a user "Vorschau-Benutzer" (engl. Preview User) (without AD assignment). This has as profile "Vorschau-Profil" (engl. Preview Profile) which is used for creating previews. Vorschau-Profil has as first signature itself and as second signature "Vorschau-Zweitunterschrift" (engl. Preview Second Signature); another profile of Vorschau-Benutzer.
Document functions
Only those document functions that are really needed are attached to each template. Unnecessary templates are removed.
In the configurations of the document functions, it is ensured that the "Use default configuration" checkbox is active wherever possible. This means that the configuration is stored in the global settings. This makes more sense since the settings can be managed centrally this way.
Identical configurations or configuration sections must be swapped out to the Global Configurations or inherited from the default configuration of the document function. This prevents the occurrence of too many identical configurations, which are confusing and much more time-consuming to maintain. For Word there are further conventions concerning document functions, see Document functions in Word.
Documentation of customer-specific solutions
Information that becomes important to the template editor when creating the templates and that should not be lost is documented in the template "--- Informationen zur Lösung ---" (engl. Solution information) (template group "-- NOTES --"). For information that concerns only a single template and can be documented in text form, the "Information" text field in the template editor is used.
Excel and PowerPoint
So far, there are no specific conventions for Excel and PowerPoint.
