primedocs desktop - Templates tab


In the Templates tab, you will find all templates in the area on the left, sorted by group. Selecting a group gives you an overview of the individual templates that are stored for you in this group. When you click on a template, the preview for a document generated from this template opens on the right.

Create a new document

Open a template group and search for the desired template. You can now generate a document from the template in the following ways:

  • either via the New document button (1)

  • directly by double-clicking on the title of the template (2)

  • by double-clicking on the preview (3)

  • or by right-clicking on the template title and using the context menu (4)

Templates are available to you depending on your profile, organizational unit and chosen doument language.

Adding and deleting favorites

The Add to favorites button adds the selected template(s) to the "Favorites" template group. To favorite several templates, click on the desired templates one after the other in a template group or after a search while holding down Shift.

The Favorites template group contains your personal favorites and is a good way to have the templates you use regularly easily available without having to click through from category to category. "Delete favorite" removes a template from your favorites.

Desktop shortcut

The desktop shortcut button creates a desktop shortcut directly to the selected template. This is very practical if you regularly use one or two templates - because you can open a file without having the primedocs app open in the foreground. Just double-click on the desktop icon. By the way: You can rename the shortcut as you wish, just like any other shortcut.

Profile selection

The button with your profile picture and your profile name opens the profile selection. If you have several profiles or have shared profiles with others, you can select here which profile you would like to use when generating a new document. If you have several roles in your company, e.g. administrator and vocational trainer, you can easily switch to the correct profile. Find out how to set up a new profile for an additional role in the primedocs desktop - Organization tab | Profile management.

Simply select the desired profile in the profile selection before you generate a document. The generated document is then filled with the corresponding profile information (e.g. sender information for letters).

Search field

In the middle of the client you will find the search field, which you can use to search for templates. This searches template names, descriptions, tags and tag descriptions.

You can either use the simple template search (1): simply enter part of the name of a template and primedocs will show you all matching templates from all template groups that have been released to you. This way you can quickly find a specific template if you know the name but are not sure which category it is in.

Alternatively, you can use the advanced template search (2), whereby you can specify exactly what you are looking for in the dialog that opens (3). You can of course enter several search parameters at once, for example the template name and a tag name. Click OK to execute the search.

Filter templates

By filtering templates, you can restrict the display of templates depending on the Office module (Word, PowerPoint, Excel or Outlook). All selected entries show templates for the corresponding module, all unselected entries hide templates for the corresponding module.

Template details

The Template details button shows you more information about the template in the list of templates in a template group for each template. Specifically, the template details and the document languages in which the template is available are displayed.

Document language

Use the Document language dropdown to change the document language, i.e. the language in which a generated document is displayed. Not to be confused with the UI language, which you set in the "Options" menu item on the primedocs tab!
