Let's take a look at the primedocs tab in Word.

Word Menu ribbon

As soon as you have generated a Word document, you will see the following ribbon in Wordmenu bar:

This ribbon is designed to help you work smoothly by remaining on this ribbon for most basic and day-to-day Word tasks. You can always switch ribbon to one of the regular Word ribbons at any time. primedocs does not limit you in any way, or block you from using advanced Word functionality - it merely offers you an alternative for regular, everyday Word editing.

So let’s look at this ribbon starting on the left.

The primedocs icon will lead you to the help area, which includes this document.

Save” is clear - it corresponds to Word’s “Save”.

Now the first unique button is “Properties”. This opens the document properties window. These properties are the primedocs properties, not Word’s or Window’s properties, which are generally technical in nature. primedoc’s properties are those fields you fill in during the document creation process. They are those fields on the window that pops up after you open a template and before it appears in Word. So for a letter, this popup window may ask you for the recipient’s address, the date, the subject line and if you have any enclosures. These the the document properties, and this button in the Word ribbon simply opens up this exact same popup window again, so that you can change any choices you may have made when you created the document originally. This is a really easy way to change document information, rather than going and editing it all by hand in the document.

The next button (with my name on it) is the profile selection button, so yes - you can change user profile even on an existing document. If this button is greyed out, it simply means that the particular type of document you have open doesn’t use the user profile information.

And directly below the profile selection button, you have the language selection button. This doesn’t actually translate the document (this would be technically possible nowadays, but the quality of the translation is not reliable enough… yet). Instead, it switches the spell check language of the entire document to the language you select.

Here you will find the most important commands for editing the current document. This makes your work easier, as you can stay on this menu bar for most everyday activities in Word.

You can also access the properties here later to edit them. Click OK to apply the changes to the document.

Note

IMPORTANT
Please note that the automatically filled fields (all fields in the header and footer) should only be changed via the properties dialog. This ensures that your changes are not overwritten the next time you open the document.

Click on the primedocs button to return to the primedocs pro main menu at any time. If you click on the submenu of the button, you can access the primedocs user manual on the Internet.

Click on the Properties button to return to the Properties dialog and make adjustments again, especially in the header and footer.

Profil

You can change your profile via the primedocs tab. If several profiles are available to you, you can change your selection at any time by clicking on the Profile button. As in the client, a list of all the profiles available to you will open. Select your desired profile here.

If this button is grayed out, this simply means that the document you have opened does not use any profile information from primedocs.

Language

The button for the document language is located directly below the profile selection button. If you change the document language, the spell check language of the entire document is changed to the language you have selected and any text modules that have been translated into this language are displayed in the selected language.

Content group

Snippets

Snippets are a very powerful feature - so let's take a moment to get to know them a little better:

Snippets are blocks of content (text, tables, images, etc.) which that you can save and can re-use reuse in any other document , without havoing having to copy and paste from other documents. They are very easy to create and to work withedit. And if you use them cleverlyskillfully, they can save you an enormous amount of time!

There are basically two types of snippets: “Shared” and “Personal” snippets. Everyone can create personal snippets. They are yours and yours alone. Nobody "Shared" and "Custom" snippets.

Private snippets

Every user can create their own snippets. They belong to you and only you. No one else can see them (not even adminsadministrators).

Shared snippets

Shared snippets are created centrally and are made available accessible to everyone or to specific teams within your organisationuser groups in your company. If you need to be able to create shared snippets, there is training especially available for this - it’s not hard. But you will need to request “Snippet” access rights tpo primedocs Pro.contact your internal support.

Create snippets

So how do you create a snippet. Easy. Mark snippets? It's quite simple. Select a text and drag it into to the right-hand area on the right, e.g. under “Personal snippets”"My snippets". Then drop save it there. A window will pop up asking for opens in which the name of the snippet snippets and listing the language recognized by Word has recognised. Press are specified. Correct the document language if necessary, click OK and the snippet snippets is saved.

Insert snippets

To use this snippet at a snippets later date in another (or of course the same) document), simply drag the snippet out of the snippt panel into your document. That’s all there is to it., click with the mouse at the point where the snippet is to be inserted. Then double-click on the desired snippets in the snippets panel; the snippets will be inserted.

Alternatively, you can also drag the snippets from the snippets panel to the desired position using drag'n'drop.

Snippets in different languages

There are some advanced features functions, such as the ability to overlay different language versions of the same snippet by marking selecting a text in English, sayfor example, French and dropping it on top of the same snippet in English… and primedocs will save placing it over an existing snippet. primedocs then saves each language version in the same snippet. Then, you can dsrag the

To insert a multilingual snippet into a document and primedocs will atuomatically add , proceed in the same way as for a monolingual snippet. primedocs then automatically inserts the snippet in the correct language version (assuming the spell check language of the document is set correctly). Or - provided the document language in the primedocs menu bar is selected correctly.

Alternatively, you can right-click on the snippet snippets and choose select which language version you want to insert. If you do In this case, the snippet snippets will be added to inserted at the point where the cursor is located in the document.

Snippets also play a central role in document automation, but that’s a story for another time, in Layouter trainingthe automated compilation of documents using just one template. Please ask PrimeSoft Support if you would like advice on this.

Back to our ribbon. Here it is again, so you don’t have to scroll to the top of the page.

Just beside the Snippets button, we have three Colour-management buttons, for Fill, Line and Text colours separately. These allow you to select precisely the colours you need, and the three dropdowns ensure that you always have the coorect colours and colour tones for each specific purpose.

The next section, entitled “Format” corresponds to Word’s text formatting section, so we won’t go into it in detail here. It lets you choose fonts, indenting, text alignment and so on. “Standard” reverts back to the base formatting.

Format group

Fill color / Line color / Text color

There are three buttons for color management right next to the "Snippets" button. You can apply fill, line or text colors to your document here. These are stored according to the design (CI/CD) of your organizational unit - so you don't have to worry about which colors are allowed and which are not.

General Word formatting

The next section corresponds to the text formatting section of Word, which is why we will not go into more detail here. Here you can select fonts, indents, text alignment, etc. Use "Standard" to reset the formatting of the current paragraph.

Completion group

Print

The Print button opens the Word print dialog. This has the same function as the keyboard combination Crtl Ctrl+P key combination.

Send

The “Send” "Send" button is really neatpractical: it opens an e-mail with in which the currently -open opened Word document is already inserted as an attachment, which makes it very smooth to send sending a document to a colleague.Last but not least, the “Spelling” much faster.
